Phone System Helpful Hints
Helpful information for all district telephone users about the phone and voicemail system.
Did you know.....
...On occasion,
the "message waiting" light on your phones will flash,
indicating a new message, when in fact there are no
messages to be retrieved. This can mean a system problem, but usually is
not serious. To clear the light:
With the phone receiver left on-hook, or in its cradle, just press # 5 #
10 - the light will clear; life will resume normally! If faced with
this problem frequently, please contact Joe Ivers, IS, X3845.
...You can access your voicemail messages from anywhere in the district by simply pressing "6" followed by your own extension number? When you hear your own recording, press * and you will be greeted and asked for your passcode, at which time you're in! You can hear messages, delete, forward, or use any other options available.
...If you're anywhere outside the district, even at home on the weekend, just dial in to your own extension, and when the recording begins, press "star" ( * ) and you'll be there! ( You can even call your own voicemail, leave a message , and when you return to work you'll have the "memo" waiting for you as a reminder. )
...When you reach a person's voicemail box, and their recorded greeting is playing, you don't have to listen to the ENTIRE message! If you wish to immediately leave your message, press "#" and you'll hear the tone signaling you to begin recording right away..
...When you are retrieving voicemail messages from your own box, you can use the "#" to get quickly past the mailbox number of the sender, and the message begins immediately.
...You set up "Distribution lists" for voicemail messages? These are useful for creating one voicemail recorded message, then distributing simultaneously to any number of people you wish to have receive the message. An example may be a group of teachers in a building all receiving the same message from the same source, at the same time, with the message going directly into their voicemail boxes. The classroom phones will not ring, and every member of the group receives information on meetings, bulletins, or any needed information you wish to share. A committee leader can send messages directly to other group members, in about the same time it takes to leave one single voicemail message.
This feature can be set up by any voicemail user, by choosing "8-user options", then "2-distribution lists", then follow the prompts to set up a distribution list. This feature takes a bit more practice to become accustomed to, so if you would like to have Joe Ivers set it up just send him an e-mail. You will need to give him your extension number and the extension numbers of those participants you'd like to including the distribution list and he will get you started.
...If you receive information via a voicemail message, and wish to share this with someone else, or simply "pass it along", after listening to the message, you are given several choices - press 7 to play again, 5 to keep the message, 3 to discard - OR - press 2 to FORWARD or reply. When you elect to forward the message, you will be asked to what box number you wish to forward to, and it's handled!
...If you have deleted a voicemail message, then later find you need additional information from your messages, we can "UN-delete" messages if caught before 7 days have elapsed since the message was deleted.
Call the Technology Dept at X3911 with the information you provide we may be able to retrieve your message.
...If you are carrying a pager, we can probably set up your pager to be notified when messages are left in your voicemail. You can then retrieve the messages from any other phone, whether in-district or out in the community, day or night!
